Outlook 2003 Email Setup

Freelock instructions Outlook 2003

Microsoft provides basic instructions which are included at the
bottom of the page. Immediately below is what works for setting up Outlook 2003 in conjunction with Freelock's email servers.
STEP 1.
  • Open Outlook
  • The Screen should look similar to this.
  • In this image, the account named mail.freelock.com has already been added.
  • The account created will be named at the will of the client and is not necessarily mail.freelock.com.
STEP 2.
  • The menu
STEP 3.
  • On the menu, select "tools" and then "Options..." from the dropdown list.
  • Alternately, and more directly, "E-mail Accounts..." may be selected from the dropdown menu which moves
    you past the next couple of steps.
  • If proceeding via the "E-mail Accounts..." selection, proceed to step 6.
STEP 4.
  • If you have chosen to proceed via "Options...", you will see this.
  • Click on the "Mail Setup" tab.
STEP 5.
  • From the "Mail Setup" tab, click "E-mail Accounts...".
STEP 6.
  • If adding a new email account, select "Add a new e-mail account" and click "Next".
  • Proceed to step 8.
  • --OR--
  • If changing and existing account, select "View or change existing e-mail accounts" and click "next".
  • Proceed to step 7.
STEP 7.
  • Having opted to change and existing e-mail account, select the desired account and click "Change"
  • Proceed to step 9.
STEP 8.
  • Having opted to add a new email account, the type to be specified is IMAP.
  • Select "IMAP".
  • Click "Next".
STEP 9.
  • Complete or change the indicated information as required.
  • Enter your name and email address. Both incoming and outgoing servers are mail.freelock.com.
  • Enter your user name(which is your email address). **Do not** check the "log on using ... (SPA)" box.
  • You may enter your password and check the "Remember password" box at your own discretion, considering your internal security policies.
  • Click on "More Settings..."
STEP 10.
  • "General" tab
  • Complete with your desired account name.
  • Click on the "Outgoing Server" tab.
  • "Outgoing Server" tab
  • Complete as shown, selecting "My outgoing server (SMTP) requires authentication" and selecting to "Use same settings as
    my incoming mail server.
  • Click on the "Connection" tab.
  • "Connection" tab
  • "Connect via my local area network (LAN)" should be selected.
  • Click on the "Advanced" tab.
  • "Advanced" tab
  • Complete as indicated.
  • Accepting defaults may work in some cases. However, changing the "Outgoing server (SMTP)" port number to 465 may be
    required to defeat problems caused by an ISP's conflicting use of port 25.
  • Click on "OK".
STEP 11.
  • Provided this information had been filled out correctly earlier in the process, no changes should be necessary.
  • Click on "Next".
STEP 12.
  • This should be the end of the process.
  • Click on "Finish".
  • Test and verify functionality.
STEP 13.
  • This error may be encountered and may be ignored if Outlook is otherwise functioning as desired.
  • To prevent this message from being displayed every time the send/receive process executes,
    check the "Don't show this dialog box during Send/Receive" box.
  • This issue is otherwise pending resolution.
STEP 14.
  • Having checked the "Don't show this dialog box during Send/Receive" box, the error shown in the lower right
    of this image may briefly appear each time the send/receive process executes.

            Method 1: Microsoft Office Outlook 2007
1. Start Outlook.
2. On the Tools menu, click Account Settings.
3. Click New.
4. Click Microsoft Exchange, POP3, IMAP, or HTTP, and then click Next.
5. In the Auto Account Setup dialog box, click to select the Manually configure server settings or additional
server types check box, and then click Next.
6. Click Internet E-Mail, and then click Next.
7. In the Server Information section, select IMAP for Account Type.
8. In the Your Name box, enter your name exactly as you want it to appear to recipients.
9. In the E-mail Address box, type your e-mail address.
10. In the User Name box, type your account name.
11. In the Password box, type your password.
12. In the Incoming mail server box, type the name of your IMAP4 server.
13. In the Outgoing mail server (SMTP) box, type the name of your SMTP server.
Note IMAP4 is a retrieval protocol. You must have SMTP to send your messages.
14. Click Next after you have completed entering this configuration information, and then click Finish.

            Method 2: Microsoft Office Outlook 2003 and earlier versions of Outlook
1. Start Outlook.
2. On the *Tools* menu, click *E-mail Accounts*.
3. Under *E-mail Accounts*, click *Add a new e-mail account*, and then
click *Next*.
4. Click *IMAP* as the type of account that you are creating, and then
click *Next*.
5. In the *Your Name* box, enter your name exactly as you would like it
to appear to recipients.
6. In the *E-mail Address* box, type your e-mail address.
7. In the *User Name* box, type your account name.
8. In the *Password* box, type your password.
9. In the *Incoming mail server (IMAP)* box, type the name of your
IMAP4 server.
10. In the *Outgoing mail server (SMTP)* box, type the name of your
SMTP server.*NOTE*: IMAP4 is a retrieval protocol. You need SMTP to send
your messages.
11. Click *Next* after you have completed entering this configuration
information, and then click *Finish*.

        MORE INFORMATION<br>
        Like POP3, the IMAP4 protocol uses port 25 (SMTP) to send mail, but an IMAP4 server uses port 143 to listen for mail.<br>

        Unlike POP3, IMAP4 allows you to store your messages by default on the server, instead of downloading them locally.<br>

        To configure Outlook as an IMAP4 client, follow these steps:<br>

        1.	On the Tools menu, click Accounts. In the Internet Accounts dialog box, click Add.<br>
        2.	Type a Display Name. This name identifies your mail to recipients. Click Next.<br>
        3.	In the E-mail Address box, type your e-mail address. Click Next.<br>
        4.	In the "My incoming mail server is a" box, click to select IMAP.<br>
        5.	Type the Incoming and Outgoing server names in the appropriate boxes. Click Next.<br>
        NOTE: IMAP4 is a retrieval protocol. SMTP is still needed to send mail.<br>
        6.	In the IMAP Account Name box, type your account name. Press the TAB key and type your password. Click Next.<br>

        NOTE: If your server is secure, click Secure Password Authentication.<br>
        7.	Click to select a Connection type. If you select "Connect using my phone line," you will be given the<br>
        opportunity to select an existing Dial-up Networking connection or create a new one.<br>

Outlook 2003 View menu options

  • As selected, only unread emails will display.
    The more common choice is to select "Hide messages marked for deletion".
    Choosing "IMAP messages" from this menu will dispay everything.
  • View for each folder may need to be set individually.
  • About the Reading pane:
    Be aware that if choosing to view only unread items, the use of the reading pane can mark a
    message as read even if only displayed briefly.
    When using the view filter which shows only unread items, messages may appear to
    be lost and/or missed. It is therefore not a recommended combination.

  • If there is a need for the use of different views, one option is to utilized the advanced toolbar.
  • Right click in the tool bar area and click on advanced.
  • The default setting of the advanced toolbar will include a dropdown menu item called "current view" for quickly
    changing by selecting from the list.

Outlook deleted messages still show in my inbox

If you have chosen "IMAP messages" as your view option and wish to rid yourself of those unsightly deleted messages which still show in a folder after you delete them, you may do to the following. On the menu bar, select "edit" and click on "Purge Deleted
Messages". You must do this for each folder you wish to clean up.
